MAIN ACTIVITIES




  • Posting of all vacancies internally and on external websites.

  • Issuing vacancies to appropriate recruitment agencies to work on.

  • Managing responses from adverts and agencies via the HR Application Tracking System and liaising with managers to allow them access to CVs on the system.

  • Organising and co-ordinating interview schedules.

  • Completing the new hire checklist including raising the relevant authorisation paperwork, putting together employment contracts, taking references, performing right to work checks and tracking the return of signed /authorised paperwork.

  • Conducting HR inductions for new hires.

  • Scheduling pension inductions with the benefits advisor for all new starters within the first month of hire.

  • To provide recruitment activity updates and other reports to managers as and when required.



  • To manage the HR database, ensuring records are kept up to date at any point in time ('same day transactions').



  • Raising appropriate authorisation for employment contracts and tracking return of signed documentation, proactively flagging in advance of contract expiry.

  • To draft documentation, including authorisation forms, letters, announcements etc, relating to leavers, promotions, salary increases, changes to terms and conditions etc for the review of the Principal HR Advisor.

  • To prepare accurate and up to date monthly payroll submission for approval by the Principal HR Advisor, ensuring all relevant details/authorisations are obtained and provided for the monthly payroll submission and monthly reporting requirements.



  • To ensure that visa administration is managed appropriately and in line with legal requirements including ensuring relevant visa holders complete weekly attendance monitoring forms, visa expiries are flagged, visa tracker is kept up to date and all appropriate documentation is kept on visa holders files.

  • Assist the Principal HR Advisor with the administration of international secondments as required.

  • To prepare accurate and up to date headcount reports and organisation charts as required internally.

  • To administer and improve all HR filing systems including electronic personal files, recruitment files, training information and general departmental filing, keeping hard copies where appropriate



  • To deal with all departmental day-to-day administration including post, ordering supplies, processing of departmental invoices and expenses and interviewee expenses.

  • Timely and accurate preparation and issue of general correspondence including mortgage and employment references.

  • To coordinate training programmes.

  • To track sickness absence and flag to the Principal HR Advisor as appropriate.

  • Preparing administration for the annual salary review and performance-related bonuses.

  • Preparing data for salary surveys submission and other surveys.

  • Conducting entry and exit interviews for new hires and leavers, as appropriate, providing a written summary, including recommendations for action.

  • To coordinate HR related training via the company's on-line training system.

  • Ensure that all HR related contracts are managed in line with internal legal requirements as appropriate.

  • Ad-hoc project work as required in order to meet departmental and Company objectives.
