Working for the University of Cambridge this department manages repairs across the University campus. The systems involved in keeping the institution maintained include building automation, HVAC control systems, various control systems, building management system & alarms systems, and planned maintenance across the University's Operational Estate.



To support as required in all helpdesk areas to ensure that efficient and effective helpdesk processes are always maintained.




    • Through a variety of channels, input accurate information from customers and log these onto their systems. Then you would raise a call and work order.

    • Monitor delivery of these work orders receive and match engineers' reports and certifications

    • Fleet Activities: Breakdowns and reactive works, vehicle recalls, licence checks, fuel cards, trackers, driver training records, insurance claims, insurance and asset updates, distribution of insurance documents, Driver safety updates, respond to FoI requests, asset register updates for all EM fleet, trailers, and plant.

    • Scrutinise service reports and identify follow-on works and risks and highlight/escalate to Service Manager. Raise and issue follow-on work orders. Manage full life cycle of work orders.

    • Update facilities system to ensure compliance records are reportable and inconsistencies identifiable.

    • Manage Asset Register information in agreement with Service Manager

    • Prepare invoices for payment by making sure all work order information, engineer's report sheets and other contractual documents are attached.

    • Raise Purchase orders for the consolidation of work to invoices and occasional orders for goods when covering for purchasing team.

    • Close down or prompt others to manage work orders and calls to remove unnecessary commitments from facilities system.

    • Investigate and document all current and improved processes for Helpdesk including Work Orders, Payments, Purchasing & Supplies processes.

    • Be aware of process and procedures and identify any areas of concern.

    • Communicate process changes and improvements - verbally or through written documentation - to Customers, Suppliers, management, peers, staff, and other employees so that issues and solutions are understood

    • Assist in the production of monthly/quarterly reports for management as required regarding performance against KPIs (Key Performance Indicators), exceptions and cost, highlighting areas of risk. recurring issues and updates. Provide advice and guidance as appropriate.




Car Parking: The parking is FREE. It is about a 7-minute walk. It is secure parking with a barrier and CCTV.


Hours: Monday - Friday 36.5 hours per week. (Emergency call out Rota for out of hours). In addition to the standard working week of 36.5 you will work 0.5 hours. As a result of working this extra time, in addition to the 36 days holiday entitlement, you will receive time off in lieu with payment equivalent to a further 3 working days in a full leave year
